Overview

The Office and Food Shelf Coordinator will professionally administer all incoming calls and direct inquiries to the appropriate individual. This position is also responsible for ensuring the food pantry operates smoothly and maintain sanitation adherence. This is a regular part time regular position with a workweek expectation of 28 hours per week.

Responsibilities

This job description is not all inclusive. It is intended to identify the essential duties of the position. Other duties, responsibilities and tasks may be assigned by Corps Officer. Maintain positive work atmosphere by behaving and communicating in a manner that fosters good relationships with co-workers and supervisors. This would include but not be limited to such actions: resolution of conflicts in a professional manner; courteous treatment of staff, visitors and clients; respect of others' property and person, professional and appropriate communication to and about co-workers, supervisors, and subordinates. Support the Mission of The Salvation Army by treating every client, donor, and colleague with respect and dignity, and without discrimination of any kind. Engage community members (including and not limited to, visitors, clients, and customers) in a way that brings them to the Corps for programming, events, activities, and Pathway of Hope. Adhere to the guiding principles of The Salvation Army's social services ministries as outlined in Faith In Action with an emphasis on intentional outreach in the area of holistic care to those we serve. Be knowledgeable of all Salvation Army Social Service and Corps programs.

Receptionist Professionally administer all incoming calls and direct inquiries to the appropriate individual, department, corps or program. Greet guests in a professional, friendly, hospitable manner. Receive and route job inquiries and applications and seasonal materials received at the Front Desk. Open and close visitor areas (locking doors, turning off AC units, etc.). Send and receive faxes. Prepare mail. Assist in scanning documents for the Finance Department. Assist with routine clerical duties as requested by supervisor. Type memos, correspondence, reports and other documents. Perform a variety of clerical duties. Assist with seasonal and special projects as needed (i.e. Christmas, Giving Hearts Day).

Food Pantry Distribute food boxes to beneficiaries according to guidelines. All food items are to be weighed and recorded on proper forms before leaving the pantry. Ensure that all boxes weigh the appropriate amount and that they contain the necessary items according to our guidelines. Be responsible to handle incoming food donations and related gifts in kind to include proper storage, documentation, and rotation. Record donations by weight, and the name and address of the donor. Issue receipt as requested. Work with Social Services Coordinator III to maintain rotation, proportional distribution, and proper storage of all food related items. Ensure that all items are maintained for freshness. All outdated, bulging, open, or rusted items are to be disposed of. Maintain highest standards of cleanliness. Ensuring that all health and food bank standards are met including the proper storage of all food, equipment and supplies. Keep logs updated. Ensure that the refrigerators and freezers are maintained and kept in clean working condition. Maintain confidentiality of all clients. Ensure the fair treatment of all clients. Conduct recruitment of Pathway of Hope participants. All other duties as assigned.

Gifts in Kind Track all the gift in kind donations; clothing, food, toys, and other miscellaneous donations. Determine the value of each donation based on the gifts in kind worksheet. Ensure donation receipts are done accurately for the donors. Submit monthly gifts in kind reports to the DHQ finance department.

Qualifications

* High School Diploma/GED required. Ability to work well with clients of diverse cultural and socioeconomic groups, respect confidentiality, and ability to work within the ethical and legal parameters of social services. Ability to accept supervision and work with a team of co-workers. Ability to organize work, set priorities, meet deadlines, and complete tasks with a minimum of direction. Must have excellent interpersonal, oral and written communication skills, the ability to work independently and/or in a team setting. Ability to proficiently use Salvation Army approved word processing, spreadsheet, database management, and graphics/desktop publishing software packages. Valid Driver's License. (Must meet the guidelines provided by the State of residence and the automobile insurance provider as pertaining to corps' passenger vans/buses.) Must pass The Salvation Army background checks and meet the MVR driver's qualifications. Willingness to support the philosophy, goals, objectives, and mission of The Salvation Army. It must be understood by the incumbent that the provisions of Safe from Harm will apply upon commencement of employment and also understood that the required Safe From Harm training be satisfactorily completed within the first thirty (30) days of employment.
